One contract, figure by figure

Recovery page, one contract

Vantrell Surgical, 2026 surgical devices agreement

Calendar year 2026, 116 days left. As of 6 September 2026.

Owed to you today$264,0605 rows behind it. Press to open.

Money the contract has already earned that has not arrived, split by the reason it is owed, because each reason is collected differently.

It is never added to the two figures below: this money is due now, the others are not yet earned.

  • Past payment date: Q1 volume rebate$118,400

Where it comes fromJan to Mar 2026 at tier 2, 6.5% on $1,821,538 of qualifying purchases. Payment was due 15 May, 114 days ago.

Earned at the tier the purchases actually reached. The supplier has sent nothing for the period, so the full amount is late.

The moveExport the statement for the supplier, with the invoice lines behind the figure.

  • Past payment date: Q2 volume rebate$75,700

Where it comes fromApr to Jun 2026 at tier 2. Payment was due 14 August, 23 days ago.

The supplier remitted $52,300 against this period at the tier 1 rate. The difference between what was paid and what the contract says is what is late.

The moveDispute the short payment, period by period, with the tier arithmetic attached.

  • Due, not yet late: Q2 VantraSeal per-unit rebate$10,900

Where it comes from198 units at $55, due 20 September.

Earned and inside its payment window. Nothing to chase yet; the product raises it as overdue the day after the date passes.

The moveRecord the payment when it lands and the line closes itself.

  • Held by a commitment you can clear: FY2025 attestation$31,200

Where it comes fromThe 2025 annual rebate, payable once the share attestation for that year is on file.

The money is earned but the supplier may hold it until the attestation arrives. The form is the only thing between you and the payment.

The moveRecord the attestation, with the share figures the supplier asks for already worked out.

  • Credit for overcharge$27,860

Where it comes from412 invoice lines for VS-6610 billed at list instead of the contract price.

Billed above the price you were entitled to. The product matched each line to the contract price list and summed the difference.

The moveExport the affected invoice lines and request a credit.

Expected for 2026 on current pace$475,8003 rows behind it. Press to open.

Where the purchasing pace so far lands by year end, rebate by rebate. Pace arithmetic on your own purchases, labelled as such, not a prediction.

It is not added to the money owed: none of it is earned until the periods close, and part of it is gated on a commitment.

  • Surgical devices volume rebate at tier 2$366,000

Where it comes fromTrailing 90 days of purchasing carried to 31 December puts the basis at $5.63M; 6.5% of that.

Gated on a 65% share of energy devices. The share stands at 61.3%, so this rebate is calculated and, if nothing changes, not paid.

The moveSee what closes the share gap before the year ends, and what it is worth.

  • VantraSeal per-unit rebate$49,300

Where it comes from897 units at $55 on the same pace.

A flat per-unit rebate with no commitment behind it, so the whole figure pays if the units are bought.

The moveNothing to do; it books as the periods close.

  • Prompt-pay rebate$60,500

Where it comes from1.5% of invoices paid inside 30 days, on the year’s pace.

Invoice by invoice. The 15% of invoices paid late this year are the gap in the figure below.

The moveSee which cost centers pay late and what each late invoice forfeits.

Still within reach this year$215,0003 rows behind it. Press to open.

Money beyond the pace figure that is still possible before the year closes, and the rebates paying nothing because the set-up is unfinished.

It is a separate figure because it needs different work: purchasing decisions and set-up fixes, not collection.

  • Volume rebate to tier 3+$174,000

Where it comes fromTier 3 is 9% on $6.0M. The pace lands at $5.63M, so $370K more basis moves the whole year up a tier.

The uplift is retroactive to the first dollar: 9% on $6.0M is $540,000 against $366,000 at tier 2.

The moveSee where $370K of qualifying volume can come from, by category and cost center.

  • Vascular access rebate pays $0≈ +$38,000

Where it comes from3,190 units invoiced this year at $12 each, all removed by a hospital rule that no cost center maps to.

The purchases exist. The rule can never match an invoice because North Campus has no cost centers mapped, so the rebate reads $0 with no error.

The moveMap cost centers to North Campus and recalculate the period.

  • Prompt-pay: stop paying 15% of invoices late+$2,900

Where it comes fromThe invoices paid outside 30 days so far this year, at 1.5%.

Small, and the only row on this page that a change in accounts payable alone would fix.

The moveSee the late invoices by cost center.

  • Release the FY2025 held rebate$31,200, counted in “owed”

Where it comes fromThe attestation row above.

Listed here because the attestation is a thing you can still do; the money itself is already in the owed figure, so it is not counted twice.

    The moveRecord the attestation.

A sample of what the recovery page shows for one contract. Every name, date and amount is invented, and the arithmetic is simplified: the product reads the invoice lines behind each row.

How Rebate Recovery works

Why three figures and not one

A single "total at stake" is how rebate reports mislead. Money that is owed needs a statement and a dispute; money on pace needs the period to close; money still open needs a purchasing decision or a set-up fix. Kept apart, each figure says what to do. Added together, the sum says nothing.
