Rebate Recovery: a rebate year in eleven steps
From the signing to the next period.
Who acts at each step, what Rebate Recovery does, and what it leaves to people and to the supplier. It starts before the software and ends after it.
6 of the eleven steps are the software's and 3 are yours. The supplier appears where it acts in the world: at the signing and at the payment. Nothing is sent on its own and nothing is a forecast.

The eleven steps
- 01
You and the supplier
The contract is signed
Tiers, commitments, dates, caps and payment terms are agreed between the health system and the supplier. The software has nothing to do yet.
- 02
Rebate Recovery
The agreement is read
Upload the signed PDF. The contract assistant proposes the whole contract as a draft, each value with the page and the words it came from. A named person approves before anything is created.
- 03
You
Purchase files load
Invoices, purchase orders, receipts, distributor sales tracing, surgical usage and the item and supplier masters arrive as files. Each one is validated first, with a verdict in words.
- 04
Rebate Recovery
The engine runs on its schedule
Every rebate and every period books as earned, lost or still open, with a written reason, including every $0. It re-runs as new purchase data lands.
- 05
Rebate Recovery
Three figures per contract
Owed today, split by reason; expected this period on current pace; still open before the period closes. Pace arithmetic on your own data, labelled as such, never added into one total.
- 06
Rebate Recovery
Alerts, raised by rules
A scheduled rules pass raises 29 kinds of alert, from an overdue payment to a market share measuring no market. They appear inside the product, sorted into lanes and ranked by money.
- 07
You
The analyst works the lanes
Fix what makes a number untrustworthy first. Then overdue money, money to collect, commitments going short, and tiers you can still reach while the period is open.
- 08
Rebate Recovery
The statement
Earned against received, by reason and period, with invoice-level evidence where a remittance disagrees. The software produces it; your team sends it to the supplier.
- 09
Supplier
The payment arrives
The supplier remits. The payment is recorded against the contract with the remittance that explains it.
- 10
You
The remittance is reconciled
Accept or adjust the proposed split across periods. Where the remittance disagrees with the contract math, the difference stays open on the contract page with its reason.
- 11
Rebate Recovery
The period closes, the next begins
Closed periods hold their figures. The running period starts from zero, and at the end of the agreement year the true-up runs against the annual ladder.
Where to read more
Each step above has a page or a worked example behind it.
Step 2, the agreement is read
Steps 5 and 7, the figures and the lanes
Step 6, the alerts
The whole year, with invented figures
Bring one contract. Leave with the statement.
Pick a supplier agreement that matters and a purchase extract. In a working session we load it, run it, and show you what it has earned, what has been received and what is still open.
